INVOICE ADJUSTMENTS

Notify Accounting of: Adjustments, Cancellations, and Re-Bookings.

Bookings which have CANCELLED, and NO commission has yet been received. 

Notify Accounting so that we can CANCEL or VOID them in our system.  We will VOID hotel and car reservations (essentially making them disappear).  We will CANCEL any tour or cruise so that you can still see them on Grasp (both the sale and the negative (cancel) entry).

Bookings (other than hotel/car) which have been RE-BOOKED FOR A LATER DATE and NO commission has yet been received. 

Notify Accounting so that we can CANCEL the original booking in our system.  The invoice will then need to be re-issued the invoice so that it is current with current/new amounts and dates.

Bookings (other than hotel/car) which have been RE-BOOKED FOR A LATER DATE for which commission HAS been received. 

Notify Accounting so that we can note the original booking in our system.  Because commission has been received, we don’t want to ‘touch’ the original booking. We do want to cross-reference the new invoice once issued. New invoice should have ZERO commission or just the ADDITIONAL commission earned.

Bookings for which DEPOSITS AND/OR FULL PAYMENTS ARE BEING HELD AS A CREDIT and NO commission has yet been received. 

Once notified of the fact, these will be left alone in our system with a note attached to the booking in the back office stating that the vendor is holding payment and a new/updated invoice will be issued once new travel dates are confirmed. 

Bookings which have been cancelled for which COMMISSION HAS BEEN RECEIVED BUT IS PROTECTED.   

Notify Accounting on a future trip that, even though the trip has been cancelled, the commission has been protected. We will note the fact in the back office.

Bookings which have cancelled but COMMISSION HAS BEEN RECEIVED AND WILL BE RECALLED. 

This is the big one.  You must let us know if you are expecting a recall of commission or a refund for a client (paid to TTS vs directly to the client's credit card).  A refund can look like commission and get mis-posted.
